Donor Policy – Our Commitment
Boys & Girls Club of St. Charles County (BGCSTC) is a local, independent chapter of Boys & Girls Clubs of America (BGCA). Hence, BGCSTC is a separate legal entity and governed by an independent board of directors and is solely responsible for its own affairs, including:
- Matters of safety
- Compliance with federal, state and local laws
- Physical facilities
- Uses of technology
- Policies and programs
- Personnel policies and decisions
Each Local Boys & Girls Club has sole authority to hire, terminate, and establish the terms of employment of its employees. Therefore, BGCA cannot be held responsible for the actions of Local Boys & Girls Clubs. Likewise, Boys & Girls Clubs of St. Charles County cannot be held responsible for the actions of Boys & Girls Clubs of America.
Boys & Girls Clubs of St. Charles County (BGCSTC) believes in ensuring that privacy is respected and protected for donors. Furthermore, we will use personal information to keep donors and volunteers informed of our programs, special events, and funding needs. All requests to remain anonymous are respected. In addition, we will always provide an “opt-out” procedure for donors and others who receive such materials to request that their names be deleted from similar communications in the future. Finally, you may contact BGCSTC at any time and we will gladly accommodate your preferences.
Boys & Girls Clubs of St. Charles County will:
- Not sell, trade, rent or exchange its donor list and donor’s personal information with any other organization.
- Never sends out mailings on behalf of other organizations.
- Expect vendors to uphold privacy guidelines.
Collection of Data
BGCSTC collects personal data through:
- Event registration
- Email subscription
- Online donation services.
We only collect this information when users submit it voluntarily. However, if a user prefers not to submit such information online, they may contact BGCSTC. Information we collect:
- First and last name
- Email addresses
- Company/position, as applicable
- Mailing address, city, state, zip code
- Phone numbers (home, work, or mobile)
- Meal preferences and guests
- Spouse or family names
Storage of Data
We store all donor information in a password protected, secured database. Only authorized personnel have access to this information and only for appropriate business purposes. Also, this information is shared with board members and authorized staff, only on a confidential and need-to-know basis.
Online Security and Enforcement
Boys & Girls Clubs of St. Charles County does not store credit card numbers.
PRIVACY ENFORCEMENT WITH VENDORS
We do not authorize service providers to use or disclose the information except as necessary to perform services on our behalf or to comply with legal requirements.
Furthermore, BGCSTC may also occasionally ask users to complete surveys for research purposes. There also may be services on our website that require you to fill out an online form. BGCSTC collects any information that you provide in such circumstances, including any personal information.
Corporations manage and process Employee Giving programs through internal payroll deduction. Permission is obtained from the corporation before BGCSTC adds any employees to our secure database.
Personal information is protected at all times. We store all personnel records in a confidential file room located in the BGCSTC Administrative Office. Also, employees and volunteers will have annual background checks processed by an external third-party specialist company.
